Business email

Business email setup and migration, with your existing mail moved across

We handle business email setup and migration for teams moving off free email, cPanel or GoDaddy mailboxes, or an old provider. We set up Google Workspace, Microsoft 365 or Zoho Mail on your domain, move your existing mail across, and configure SPF, DKIM and DMARC so your messages reach the inbox instead of spam. The switchover is planned, so mail keeps flowing throughout.

Which provider suits your team?

Choose Google Workspace if your team already lives in Gmail, Google Drive and Meet. Choose Microsoft 365 if you work in Word, Excel and Outlook every day, or your customers expect Teams calls. Zoho Mail suits smaller teams that want reliable email on their own domain without a full office suite.

Our Google Workspace vs Zoho Mail vs Microsoft 365 comparison covers features, admin and day-to-day use in more depth. Whichever you choose, the account and licences sit in your business's name.

Migration

Migrating from GoDaddy, cPanel or another provider

Many businesses start from the same place: email bundled with hosting on cPanel, GoDaddy or a similar host, with mailboxes filling up and messages landing in spam. Others are moving between Zoho Mail, Google Workspace and Microsoft 365, or away from Rediffmail and other older services.

We move mailboxes and folders using IMAP or the provider's own migration tools, along with contacts and calendars where the old service allows. For a step-by-step view of what happens, read our guide to moving your business email to Google Workspace or Microsoft 365.

  • Migrate GoDaddy or cPanel email to Google Workspace
  • Microsoft 365 email migration from any IMAP host
  • Zoho Mail setup for business, or moves off Zoho
  • Same addresses, same folders, existing mail copied across

Deliverability

SPF, DKIM and DMARC: getting to the inbox

If customers say your emails land in spam, the cause is usually missing or conflicting authentication records. Gmail and Yahoo now expect authenticated mail, and require it from bulk senders.

  • SPF

One correct SPF record listing every service allowed to send as you: your mailboxes, website forms, invoicing tools and newsletters.

  • DKIM

Signing keys generated in your email provider and published in DNS, so receiving servers can confirm your mail was not altered.

  • DMARC

A policy that protects your domain from spoofing, rolled out from monitoring to enforcement once legitimate mail passes.

Cutover

The switchover, planned

A careful cutover is what keeps mail flowing. This is the order we work in.

  1. 01Step 1

    Audit your domain

We check who controls your DNS, list current mailboxes and aliases, and note every tool that sends mail as you.

  2. 02Step 2

    Set up the new service

Accounts are created in your business name, the domain is verified, and users, aliases and groups are recreated.

  3. 03Step 3

    Copy existing mail

Mailboxes, folders and contacts are copied across while your old email keeps working as normal.

  4. 04Step 4

    Switch the MX records

At an agreed quiet time we point your domain to the new service and watch mail arriving until the change has spread.

  5. 05Step 5

    Final sync and setup help

A final pass collects any stragglers, then we help your team connect phones and Outlook and set up signatures.

Administration

Users, aliases, shared inboxes and security

  • Aliases and shared inboxes

Addresses such as sales@ and accounts@ routed to the right people, as aliases, groups or shared mailboxes depending on the provider.

  • Two-step verification

Two-step verification can be switched on for users, so a leaked password is not enough to get into your mail.

  • Admin access you control

Your business holds the main admin account. We work as a secondary admin and never lock you out.

  • Ongoing changes

New starters, leavers, password resets and forwarding rules handled as your team changes, either as one-off tasks or as part of a maintenance plan.

FAQ

Business email questions

How much does business email setup cost?

Business email setup and migration is quoted on the number of mailboxes, how much existing mail needs to move, and where it is moving from. It covers domain and DNS configuration (MX, SPF, DKIM and DMARC) and mailbox setup. The licences themselves are billed by Google, Microsoft or Zoho directly to your business.

Will I lose my existing emails when we switch?

No. Where your old provider allows access, usually over IMAP, we copy existing mailboxes and folders to the new service before the switch, then run a final pass afterwards to pick up anything that arrived in between. Contacts and calendars are moved too where the old service can export them.

Will our email stop working while we switch providers?

It shouldn't. We create the new mailboxes and copy your existing mail first, then switch your domain's mail records at a planned time. DNS changes take a little while to spread, so we schedule the switch for a quiet period and check that mail is flowing until the changeover is complete.

Can we keep the same email addresses after switching provider?

Yes. Your addresses belong to your domain, not to the email provider. We recreate the same mailboxes and aliases on Google Workspace, Microsoft 365 or Zoho Mail, then point your domain's mail records at the new service. Your team and customers keep using the addresses they already know.

Will changing our email provider affect our website?

It shouldn't. Email and your website use different DNS records, and we only change the mail-related ones (MX, SPF, DKIM and DMARC). We check what your domain already has before touching anything, and confirm your website and contact forms still send mail correctly after the switch.

Why are my business emails going to spam?

Usually because your domain is missing SPF, DKIM and DMARC records, which prove to Gmail and Outlook that the email really comes from you. We set them up correctly as part of every email setup. See SPF, DKIM and DMARC explained.

Do we need DMARC for a small business?

Yes. DMARC tells receiving servers what to do with mail that fails SPF and DKIM checks, and, once enforced, it helps stop others sending mail that pretends to come from your domain. Gmail and Yahoo now require it from bulk senders, and it helps every sender's deliverability. We start with a monitoring policy and tighten it once your legitimate mail passes consistently.

Who pays for the email licences?

Licences are billed by the provider (Google, Zoho or Microsoft) to an account in your business's name, so you keep full control. Our fee covers the setup, migration and DNS configuration.
